• Expression of Interest are invited for Provision of Venue, Furniture and Shell Scheme for Hosting the Global Expo Botswana 2023. Indoor Exhibition Area 300 x 9m2 Exhibition booths/ stalls - 2 chairs, 1 table per booth - 1 display cabinet per booth - Spotlights - Electrical outlet - Fascia (signage) - Airconditioning - carpet Outdoor Exhibition Space 1500 m2 - 3 phase electrical power outlet - Pavement Conference Room (2 days) - Classroom style for (500) - Stage - Podium - Airconditioning - 10 White Sofas on stage - Additional 15 - 20 perimeter chairs Break out rooms - 4 breakout rooms theatre style for (100) - Stage to host (4) tub chairs for panelists and podium - Additional 10-15 perimeter chairs Pre-function Area for coffee/ tea breaks - Buffet table setup outside the conference and exhibition area Registration Area - Space that can accommodate registration booths for conference and exhibition hall - (6 - 8) registration counters Networking Space - Open space where attendees can meet and network - High-top cocktail tables, workspace, table and chairs - Lounge furniture Business Partner/ Sponsor Lounge - Lounge area that can accommodate 30 - 50 attendees - Workspace, tables and chairs - Cellphone charging stations VVIP lounge - Lounge that can accommodate 10 - 12 VVIPs - Furniture for VIP lounge VIP Lounge - Lounge that can accommodate 10 - 12 VIPs - Furniture for VIP lounge GEB Office - Office for 5 GEB staff, tables, chairs, workspace Daily lunch room - Set up for 500 for Day 1 and Day 2 - Setup for 300 day 3 and 4 Parking space - Pick and Drop for VIPs - Parking for exhibitors and attendees (100+) parking bays 2.0. FURNITURE Furniture should meet the following requirements. The successful bidder will be required to provide the following items of furniture: • 250 x Tables • 500 x Chairs • 250 x Lockable Display units and cabinets • 6 x Registration counters and 10 x cocktail chairs • 10 x Shelving units on request for those exhibitors wishing to rent at their own expense. The furniture should be of high quality, stylish and contemporary in design, and be able to accommodate the requirements of the exhibition. The furniture should be clean and well-maintained. 2.1. DELIVERY, SET-UP, AND COLLECTION: The successful bidder will be responsible for the delivery, set-up, and collection of the furniture. The furniture should be delivered to the venue at least one day before the start of the exhibition and collected at the end of the exhibition. The bidder should also provide a team to assist with the set-up and take-down of the furniture. The successful bidder should provide permanent on-site support prior, during and post the exhibition.
